Bookings and payment
Your booking constitutes a legally binding agreement.
Invoices are due for immediate payment and should be paid prior to the event.
MacKay Hannah cannot be held responsible for any individual failing to get appropriate authorisation prior to booking and any individual making a booking will be held personally responsible for payment should their organisation fail to pay for this reason.
If you book at one of our reduced cost delegate rates, and you are unable to prove your eligibility, you will be charged/invoiced the difference between that rate and the appropriate rate for your sector plus an administration fee of £50 +VAT.
MacKay Hannah cannot be held responsible for the non-arrival of confirmation and registration information.
Cancellations must be made in writing by post or email.
A 25% administration charge will be applied to any booking cancelled on or more than 14 days before the event.
No refunds will be given for any cancellation made less than 14 days before the event, whatever the reason, but substitute delegates are welcome.
Bookings made under the Early Bird Discount offer must be submitted and paid for, on or in advance of the Early Bird Discount deadline date, to qualify for that rate.
Early Bird Discounts do not apply to all delegate rates and vary on a conference by conference basis.
From time to time, offers or discounts run simultaneously. Please note that only one offer or discount can be applied to any single booking.
Discounts and offers run and vary from time to time. From 25 to 28 April 2017 inclusive, anyone booking a place at a post summer conference can get a free place at another conference of their choice but that must also be booked during these dates. To qualify MacKay Hannah must process the bookings for the individual/organisation and bookings must be made by phone. It applies only to new bookings for post summer conferences made by phone during this period. The individuals attending the two conferences do not need to be the same person so long as they are employed by the same organisation.
If you cannot attend the conference and have ordered conference papers, these will be sent to you after the event, provided your payment has been received.
Free to attend events
Where a conference is free to attend, failure to attend the conference, once registered, will incur a £25 charge though substitute delegates can be sent. Cancellations can be made in writing up to 14 days prior to the event and the non-attendance charge will not be applied. If you cancel less than 14 days before the event, you should arrange to send a substitute delegate but if you cannot send a substitute or that substitute fails to attend, then the £25 charge will apply.
Refunds will only be given to cancellations made more than 14 days before the event as per our cancellation terms above. To qualify for a refund, cancellations must be made in writing by post or email.
Full refunds for cancellation or non-attendance by delegate(s) – full refunds will only be made in special circumstances and at the discretion of MacKay Hannah and will be made within 28 working days of request for refund being received.
In the event of the conference being cancelled by MacKay Hannah, a full refund will be made to the delegate/organisation within 28 working days of notification of cancellation.
In the event of the conference being postponed by MacKay Hannah, we reserve the right to retain the payment until advised by the delegate that they wish to either cancel their place or attend on the rescheduled date. If the delegate is unable to attend on the rescheduled date (or offer substitute delegate) a full refund will be made to the delegate/organisation within 28 working days.
Payment of Refunds
1. Payments made by credit or debit card – Your card will be credited with the full amount minus 25% administration charge within 28 working days of request for refund being received.
2. Payment by BACS transfer – A transfer will be made to the account number provided by the delegate/accounts department/organisation within 28 working days
3. Payments by cheque – a credit will be made to the bank account of the delegate or organisation within 28 working days
** the delegate can request a refund by either BACS or cheque depending on their preference
Filming and Photography
We may film or take photographs (including flash photography) at events to be used in publicity and marketing materials, including use on our website. Your attendance at an event may mean you are featured in such photographs or film and unless you notify us of your objection to this, your consent will be implied. If you do not wish to be included in any photograph, please notify us prior to the event.
Delegate Feedback from Conferences
Feedback from our delegates (both good and bad) is extremely helpful to us in planning future events. Comments made by delegates may be used in future promotional materials or on our website. If you do not wish to have any comments attributed to you, please do not identify yourself on the feedback form.
MacKay Hannah assumes no liability for the accuracy of the information appearing on this website. Contents can be deleted or amended at any time without reason or prior notice being given.
The content and structure of the website is protected by copyright and all rights are reserved.
All bookings made online will be processed automatically and delegates will receive confirmation of their booking to their email address together with registration and other details pertinent to the event.

- demographic information such as postcode, preferences and interests
- other information relevant to the event or area(s) of interest identified
We require this information to understand your needs and provide you with a better service, and in particular for the following reasons:
- internal record keeping
- we may use the information to improve our products and services
- we may periodically send promotional emails about new products, special offers or other information which we think you may find interesting using the email address which you have provided
- from time to time, we may also use your information to contact you for market research purposes.
- We may contact you by email, phone or post. We may use the information to customise the website according to your interests.
- You can update your details and subscription preferences or unsubscribe at any time via our website
Controlling your personal information
We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so. We may use your personal information to send you promotional information about third parties which we think you may find interesting if you tell us that you wish this to happen or unless you tell us otherwise.
We will, for the purpose of the event you have booked for, prepare a delegate list detailing the name, job title and organisation of those attending the event and this delegate list will be made available to those individuals. We will not include any contact details in that delegate list. If you do not wish your details included in the delegate list, please contact us at least 7 days prior to the event.
You may request details of personal information which we hold about you under the Data Protection Act 1998. A small fee will be payable. If you would like a copy of the information held on you please write to MacKay Hannah, Crichton House, 4 Crichton’s Close, Edinburgh EH8 8DT.
If you believe that any information we are holding on you is incorrect or incomplete, please write to or email us as soon as possible at the above address. We will promptly correct any information found to be incorrect.
